AFLA Webinar: Management of Employee-Provided Vehicles: Understanding the Differences Between Reimbursement Methods

Many com­pa­nies uti­lize employ­ee-pro­vid­ed vehi­cles to some degree or anoth­er in order to meet their needs for the trans­port of peo­ple, goods, or ser­vices. Employ­ees who oper­ate their vehi­cles for busi­ness use are com­pen­sat­ed under either tax­able or non-tax­able reim­burse­ment plans, but employ­ers and employ­ees often over­look dif­fer­ences in tax con­se­quences between the two types of reim­burse­ment meth­ods.

Well-run orga­ni­za­tions inte­grate both employ­er-pro­vid­ed and employ­ee-pro­vid­ed vehi­cles into their fleet pro­gram as part of their vehi­cle allo­ca­tion method­ol­o­gy (VAM). The fleet man­ag­er (or oth­er designee) should have author­i­ty over both pro­grams in order to prop­er­ly con­trol costs and to suc­cess­ful­ly pro­vide fair, safe, and equi­table trans­porta­tion for all employ­ees.

About the Speak­er

Janis Chris­tensen, CAFM is a Senior Man­ag­er and Direc­tor of Cor­po­rate Fleet Man­age­ment Con­sult­ing Ser­vices with Mer­cury Asso­ciates, Inc. She has more than 30 com­bined years of fleet man­age­ment expe­ri­ence, first, as a fleet man­ag­er in the pri­vate sec­tor, and sec­ond, pro­vid­ing con­sult­ing ser­vices to a wide array of pri­vate and pub­lic fleets, fleet ser­vice providers, auto­mo­tive trade asso­ci­a­tions, and auto­mo­tive pub­li­ca­tion com­pa­nies.

Ms. Chris­tensen has con­duct­ed pre­sen­ta­tions and work­shops for thou­sands of indus­try pro­fes­sion­als for a vari­ety of promi­nent indus­try and pro­fes­sion­al asso­ci­a­tions and has authored arti­cles in the areas of poli­cies and pro­ce­dures, fleet depart­ment audits, prepar­ing exec­u­tive reports and case stud­ies, per­son­al use, elec­tron­ic titles, reduc­ing acqui­si­tion costs, vehi­cle replace­ment strate­gies, alter­na­tive fuels, and neg­li­gent entrust­ment. She has writ­ten sev­er­al pub­lished poli­cies and pro­ce­dures man­u­als. She is a past vice pres­i­dent of the NAFA Fleet Man­age­ment Asso­ci­a­tion and is a recip­i­ent of the Association’s Dis­tin­guished Ser­vice Award for lead­er­ship, inno­va­tion, edu­ca­tion, and advo­ca­cy of pro­fes­sion­al fleet man­age­ment.
